4.4 - DVD Template
Introduction:
This Template is to be used for all DVD, Blu-ray and
videocassette format materials, as well downloadable video content (e-video).
When adding new record use the following values:
· Format = VM
· Entries Template = TEMPLATE
a) GMD - Replace [videorecording] or other non-Libraries
Victoria GMD with the following, depending on item format:
[DVD]; [DVD blu-ray];
[video]; [e-video]
b) 024 tag – Add the product barcode found on the
back of the item. Scan barcode, or, if the number is keyed in, do not include
dashes or spaces. If the same barcode is
used for multi-volume sets, and the sets are split for housing purposes, add a
note after the barcode e.g. 9316797972019 (Vol.1)
c) 028 tag – Add the publisher number which is
usually found on the spine or on the disc surface but may be on the back of the
case as well. Type in the number as it appears on the item – include dashes and
spaces. If DVD sets are split into separate volumes and there is an existing
single set record on the database or on LA, use this as a template to create
new records for each volume. Each new record created will need to have a unique
028 tag. Append a D to the main publisher code (before |b) and add the
corresponding number of discs from the |p of the 245 tag.
Using Spooks season 7 as an
example, the 028 tag on the original complete set is KAL1510|bShock. The two new records created would have one
028 as KAL1510D1-2|bShock and the other 028 as KAL1510D3-4|bShock (make sure
there is no space after the original number). Amending the 028 tag will ensure
records aren’t accidentally overlaid if downloading a complete set from LA, and
will also ensure matching is correct for future de duplication.
d) Do not include a 500 tag for the 024 OR 028 tags
OR change the title control number from the system generated number for the
product barcodes or publisher numbers.
e) Where DVDs are identical in terms of performers,
duration and original release date but have different distributors and dates of
publication, treat as for duplicate books and add the new product barcode and
publisher number in separate 024 & 028 tags.
f) 245 tag – All DVD titles are to have 245 main
entry. Remove |c from the LA record and transfer the director into a 508 tag
and 700 tag as required. |n and |p subfields to be added as examples below.
Include the full season or series when available eg. Title and number of
season/series. Include episode numbers in the 245 tag |n if there are no other
specific details.
Note the GMD |h position may
vary. See examples below.
g) Include a 246 or 740 tag for alternate number
formats (e.g. second series/2nd series).
h) 300 tag – enter material type as: DVD/s ;
video/s e.g. 2 DVDs ; 1 video.
i) 336/337/338 tags - Content, Media and Carrier
Type tags are validated fields. Select the apropriate entry from the
field/subfield entries provided.

j) 500 tag - when a set is broken up for re-housing
add a note such as ‘Originally released as a <number> disc set.’ Do not
include publisher number here. Try to split items to match the titles already
in the database, otherwise split
according to local needs.
k) 521 tag – Target Audience - This is required for
material classified “MA” and “R”. When this tag is used on local records, only include the rating code e.g. PG, M, MA
15+. Do not include any qualifying statements such as ‘Contains mild violence’.
l) 538 tag – Region 2 and 4 DVDs - do not create a
separate bib record for the different regions. Amend to show that the DVD may
be either of two formats e.g. Region 2 or 4.; e.g. NTSC or PAL.
m) 546 tag – Where a DVD has language and/or
subtitle information available include this here e.g. In English, Greek,
Bulgarian and Arabic. Subtitles in English, Greek, Bulgarian and Arabic and
English captions for the deaf and hearing impaired.
n) 700 tag – it is not necessary to create 700 tags
for performers but add details in the 511 tag which is searchable.
