4.10 - Kit Template
Introduction:
This Template is to be used for all sets of material
consisting of a combination of items of different formats. A set is considered
a kit only if all pieces are integral to its use and it cannot be used if any
of the disparate parts are missing.
When adding new record use the following values:
Format = MARC
Entries Template = TEMPLATE
a) Do not use GMD [kit] for a book with a disc e.g.
a book that can still be used on its own if the disc is lost or damaged.
· They should be record type ‘a’ and have no GMD.
· Check the 300 tag to be sure of the physical
entity.
· Remove the GMD [sound recording] from the
Libraries Australia (LA) records.
· Use the call number and copy details for local
practices for kits.
b) Where a book is published with a disc or other
ephemeral matter (eg. Chart) and there is an existing book record on the
database, add book with disc etc to this record and vice versa i.e. if there is
an existing book and disc record on the database and the item in hand is a
book.
· Add the new ISBN to the bib record in second or
subsequent 020 tag
· Do not amend the existing 300 tag. The tag may
or may not indicate the presence of a disc.
· Where the 300 tag does not convey the contents
of the item being added, include a 500 tag with the note: Some copies may
include CD. EG. If the item in hand has more components than recorded in the
300 tag, include that information in the 500 tag. If the item has fewer
components, add a circ note on the item record.
· Use the call number and copy information for
local practices.
a) GMD - Replace any non-Libraries Victoria GMD
(such as [sound recording]) with the GMD [kit]
b) Change the Rec_Type to o (kit)
c) Language learning items comprising a book with
multiple discs are considered to be kits as each format refers to the other and
cannot be used separately.
d) 020 tag – Where a kit has its own ISBN, use the
kit ISBN, otherwise use the ISBN on the item in hand. Later on, if the same
ISBN appears on another type of kit or the book, change the 020 tag to 021 tag
and change the Title control number.
e) 245 tag – Subfields n and p to be added if
necessary by individual libraries.
f) 300 tag – Add type of material linking different
forms with + (see examples in template)
g) 336/337/338 tags - Each of the 33x tags are repeatable. Kits
should have multiple tags with the different content and carrier types. Add as
many as are needed to best describe the different components of the kit.
a) ESL and literacy items with multi parts are to
be catalogued as kits with a GMD of [kit] and record type o.
b) If downloading from Libraries Australia (LA)
make sure the format is correct, ie. Marc NOT Music or VM and make sure the rec
type in the fixed fields is o not i or g.
c) If there is a kit ISBN, make sure the 020 tag is
in the first position (either creating a new record or downloading from LA).
Add/change an explanatory note in brackets as stated on the item e.g. 978…
(student book + CD). Add/change the
ISBNs of the other components as 021 tags also with explanatory notes. e.g.
978…(Duplicate ISBN book) 978… (Duplicate ISBN book CD) etc.
d) If adding a record in house or moving the LA kit
ISBN to the first position, make sure the title control number matches the kit
ISBN.
e) If there is no kit ISBN, all ISBNs need to be
021 tags and the Title Control Number an automatic/system generated one.
f) Create a new record if the kit has different
components from an existing kit record i.e. 1 book + 2 CDs already on the
database and the item in hand has 1 book + 3 CDs.
NB If the same ISBN is repeated in any kits, change pre-existing 020
tags to 021 tags and change the title.
Later imprints/reprints where the book has the same
ISBN, but the audio visual parts have different ISBNs to the ones on the
existing record, add them to this record as 021 tags.
ESL and literacy items on their own (e.g. a CD only)
will have an 020 tag and no gmd of kit.
If subsequently the same title with same ISBN is published with other
components, create a new record for the kit and change the ISBN of the existing
record from 020 to an 021 tag. Change
the existing record’s title control to a system generated number.
